In order to fully engage in a wireless telecom expense management, you need to get control of the texting environment. It is not unusual for my-tem to reduce a client’s wireless telecom bill by 5% or more just by focusing on texting. Texting is the sending of short typed messages through a cell phone, typically to another cell phone user. Wireless carriers make huge profits on texting unless the service is covered by a plan. This article explores ways that you can control wireless texting expenses for your organization through a wireless expense management system by using 3 key steps.

1) Establish a wireless texting policy. Surprisingly, most companies do not have a wireless policy at all. Establishing the rights, privileges and responsibilities of wireless users is essential to managing wireless expenses over time. Your wireless usage policy should state under what circumstances texting is allowed and considered appropriate. Our suggestion is that you not ban texting across the organization – we have seen many companies take this route only to encounter unintended consequences. The primary consequence is that with some carriers, by blocking the text function, you can also block voice mails.

Rather than blocking text messaging altogether. The wireless usage policy could state that occasional texting is allowed for business purposes and that the employee will be personally responsible for texting charges in excess of $5. If texting is considered integral the employee’s role, a text plan can be approved by their manager. By instituting a personal liability element, employees are less likely to start texting to begin with.

2) Review the wireless invoices every month for usage charges of any sort. Texting will become apparent with regular review. This can be a very manual task so set up macros in a spreadsheet, use a database or use a free telecom expense management (TEM) system available on the internet. It has been our experience that a texting habit grows on a regular basis. Once an employee begins to text, their usage grows substantially over time. As employees send texts, they will begin to receive more texts from others and begin to significantly increase the number of texting events on their device. The ability to trend wireless texting data is critical to identify users who are turning into abusers. Again a database or TEM application can greatly simplify your efforts.

3) Apply texting plans to all users who exceed $5 per month. Typically, texting plans run from $5 for 50 texts up to $20 for unlimited domestic texting. International wireless texting is extra – not too much extra for domestic to international, but considerably more for international to international. There are international text plans available as well. Text plans are not like wireless voice plans, you can decrease your plan as necessary without incurring a penalty if you reduce the plan.

In order to fully control your wireless expense, you need to focus on the expenses generated by employee texting. Establishing a wireless usage policy that includes texting is the first step. Then you can assess text usage pattern by analyzing the monthly bills. Last, establishing appropriate text plans for authorized users will lower your overall wireless expenses by 5% to 10%. To assist in the tracking and analysis, consider using a database or a free telecom expense management application.
